Part I: Personnel Information

Update Menu, option 1, Personnel Information — This option is used to add, change, or delete personnel information. You must establish a record through this option before you can add data for any record in the other nine options.

To Access the Personnel Information Option:

  1. Type 1 at the cursor.

    Or

    Position the cursor next to the Personnel Information option.

  2. Select the Enter key to choose this option. The Part I: Personnel Information screen is displayed.

To Add Personnel Information:

  1. Complete the fields as follows:

    SSNO

    Agency/Bureau

  2. Select the Enter key. A system message SSNO Obtained is displayed.
  3. Complete the fields as follows:

    Name

    Department

    Position Title

    Personnel Office Ident (POI)

    Personnel Type

    Individual Position Num

    Last Name

    First Name

    MI

    Position Sensitivity Code

    Date of birth

    Pay Plan

    Grade

    Occupational Series Code

    Date Separated

  4. Select the Enter key. If the data passes system edits, the message Sets-Key-Rec, Personnel-Info Successfully Added is displayed.

    If the data does not pass system edits, an error message will be displayed.

    Note: All data must be corrected before the SETS database is updated.

    The following fields are system generated for Personnel Type E from PPS:

    Accounting Distribution Code

    Org Struc Code

    Nature Of Action Code

    Date Personnel Action Effective

    Date NTE

    At this point, the following options are available:

    • Select the F5 key to display the Help screen and to obtain assistance in completing any field.
    • Select the F12 key and repeat the above process or refresh the screen to query another individual’s record.
    • Select the applicable function key to perform another function or to exit.

To Change Personnel Information:

  1. Type the SSN in the SSNO field.
  2. Select the Enter key at Part I. The data for that SSNO is displayed.
  3. Type the new data in accordance with the entry instructions.
  4. Select the Enter key, after making all changes. The message Data Successfully Modified is displayed.

    If the data does not pass system edits, an error message will be displayed.

    Note: All data must be corrected before the SETS database is updated.

    At this point, the following options are available:

    • Select the F5 key to display the Help screen and to obtain assistance in completing any field.
    • Select the F12 key and repeat the above process or refresh the screen to query another individual’s record.
    • Select the applicable function key to perform another function or to exit.

To Delete Personnel Information:

  1. Space through each field that contains an entry to delete Part I.
  2. Select the Enter key.
